Using RogiData, start to finish

RogiData is where your clinic keeps patient records, prescriptions, the front-desk queue, and the books — in one place instead of paper files and spreadsheets. This guide walks through every screen by role, in plain terms, assuming you've never opened it before.

Start here

Creating your account and signing in

Every clinic on RogiData begins the same way: one doctor signs up, which automatically creates the clinic's workspace (its "organization"). That doctor then adds the rest of the team from inside the app — nobody else needs to sign up separately.

1.Sign up as the first doctor

Go to the sign-up page and fill in the registration form.

Click Register. This creates your clinic's workspace, named "Your Name's Clinic" — you can't rename it from the app yet, so use your real name or your clinic's name here if you'd like it to read well later.

2.Verify your email

  1. Right after signing up, a message box pops up asking for a verification code.

  2. Check your inbox for an email titled "Verify your email — RogiData". It contains a 6-digit code, valid for 24 hours.

  3. Type the code into the box and confirm. You'll see "Email verified! Please sign in."

    If you closed the box by mistake, that's fine — the sign-in page will offer to resend the code the next time you try to sign in.

3.Sign in

Go to the sign-in page and enter your Email Address and Password (there's an eye icon to reveal what you typed if you want to double-check it). Click Sign In — you'll land on the dashboard for your role automatically.

4.Forgot your password?

  1. From the sign-in page, click "Forgot Password?", enter your email, and click Request Reset Link.

  2. A reset link arrives by email (valid for 1 hour). Opening it shows a form for a new password — at least 8 characters, with at least one letter and one number.

  3. After resetting, go back to the sign-in page and log in with your new password.

Quicker option

If you're already part of a clinic, it's often faster to ask your organization's admin or doctor to reset it for you from the Admin Panel — it takes effect immediately, with no email wait. See Staff & organization.

Orientation

Roles at a glance

Everyone on RogiData has a role, and what you see is shaped by it — much like the color-coded badges different staff wear on the ward. There are four roles in everyday use:

Doctor

Full clinical access: patients, prescriptions, reports. Also has full access to billing and the books by default, and — for a clinic with no separate admin — effectively runs the organization too.

Reception

Registers patients, runs the front-desk queue, and uploads documents. Billing/reporting access can be switched on for a specific receptionist by an admin or doctor (see Staff permissions).

Assistant

A lighter support role. Still early — see what's available now.

Admin

Runs the organization: adds/removes staff, manages the price list, the books, and connections to other clinics. Doesn't see individual patient records, and — deliberately — can't record invoices or payments unless specifically granted that.

A fifth role, Lab Technician, exists in the system but isn't fully set up yet — hold off assigning anyone to it for now.

For doctors

Your dashboard and patients

Your dashboard opens on four counters — today's patients, how many are currently in the queue, prescriptions written today, and your total patient count — followed by the walk-in queue, a "Reports Pending Review" list, and recent activity.

1.Registering a brand-new patient

From your dashboard, choose New Patient. Fill in Full Name, Mobile Number, Aadhar Number, Age, Gender, and Address, then click Register Patient. (Front-desk staff usually handle this instead — see Reception — but you can do it directly too.)

2.Finding an existing patient

Choose Search Patient. Pick a search type — Name, Mobile, or Aadhar — type the value, and click Search. From the results, View opens a quick summary; Records opens their full record.

3.Opening a patient's full record

The record page has five tabs: All Records, Prescriptions, Medical Records, Compare Reports, and, if it's been switched on for your account, AI Suggestions.

Under Compare Reports: filter by type (Lab Report, X-Ray, Blood Report, etc.), tick two or more documents, then click Compare Selected to view them side by side — useful for tracking a value over time.

If it's there

AI Suggestions lets you select relevant documents/prescriptions, add a note, and click Get Suggestion for a plain-text, clearly-labeled suggestion — never a diagnosis, never saved automatically to the record. It's switched on per-doctor by the RogiData team, so don't worry if you don't see it; most accounts won't, yet.

4.Your Reports Pending Review list

Whenever reception uploads a lab report, X-ray, or blood report for one of your patients, it lands here — oldest first — and you're emailed too. View opens the patient; Mark Reviewed clears everything pending for that patient at once.

For doctors

Writing a prescription

Prescriptions are written from inside a patient's record, not from the dashboard — open the patient, then use Add Prescription (or New Prescription at the top of the page).

Save it, and it appears immediately under the patient's Prescriptions tab. To fix a mistake later, open that prescription and choose Edit Prescription — same form, updates in place.

For doctors

Reports and documents

From a patient's record, Add Record opens an upload form.

For reception

Front desk and the queue

Your dashboard shows today's registrations, how many are currently in the queue, today's appointments, and documents uploaded today, followed by the live queue and quick actions.

Leave "Add to today's queue" ticked (it's on by default) to send them straight into the waiting list, or untick it if you're just filing their details for now.

2.Managing the queue

Each person in the queue shows their name, mobile number, and appointment time, with a status you can change on the spot: Waiting, In Consultation, or Completed. The ✕ removes someone from the queue entirely.

To add someone already registered, click + Add: start typing a patient's name (3+ letters brings up matches), optionally set an Appointment Time and a Priority number, then confirm.

No separate scheduler

There isn't a dedicated appointment-booking screen — set the appointment time right here when you add someone to the queue, and it'll also show up in Today's Appointments on your dashboard.

3.Uploading documents

Choose Upload Documents: search for the patient, pick a Document Type (Prescription, Lab Report, X-Ray, Blood Report, or Other), attach one or more files (PDF/JPG/PNG, up to 10 MB each), add a note if useful, and confirm. If it's a report-type document and the patient has a doctor assigned, that doctor is notified automatically.

For assistants

What's available right now

The Assistant role is still early, and the app says so plainly on your dashboard. Today it gives you a system-status overview, your account details, and a Contact Support button. Task management, report generation, and a fuller feature set are planned but not built yet — if you're waiting on something specific, ask your admin what's expected of the role today.

For admins

Staff and organization

Your dashboard is a set of doors into the rest of the app: staff counts up top, then cards for the Admin Panel, Billing, the partner Network, the Ledger, Financial Reports, and Accounting Permissions.

1.Adding a staff member

Open the Admin Panel and click Add User.

PasswordSet it yourself and share it with them directly — RogiData emails them a welcome notice, but deliberately never includes the password in it.

Click Add User in the form. They can sign in immediately — no email verification needed, since you've already vouched for the account.

2.Editing a staff member, or resetting their password

In the staff table, click the pencil icon next to their name. From there you can change their Role, toggle them Active/inactive, or type a new password into the separate Reset Password field and click Reset — that takes effect immediately, no email involved. Role/active-status changes need their own Save Changes.

For admins

Connecting with other clinics and labs

The Network page lets your organization find and connect with other clinics, hospitals, and labs on RogiData — useful for referrals. This page is admin-only.

  1. First, decide whether other organizations can find yours: the Directory Visibility switch controls that (it doesn't affect connections you already have).

  2. Under Find Organizations, search by name, then click Connect on a result. You can optionally note the kind of relationship (e.g. "referral partner").

  3. Requests you've sent or received appear in four lists: Pending Requests to You (Accept/Reject), Your Pending Requests (Cancel), Active Connections (Disconnect), and a read-only history of past ones.

Prices and expenses

The Billing page is where you maintain what you charge for, and what the clinic spends — reachable by admins and doctors, and by anyone else specifically granted access (see Staff permissions).

1.Your price list

Under Services, click Add and enter a Name, optional Description, and Price. Existing services can be edited the same way, plus an Active checkbox — services are never fully deleted (so old invoices still make sense), just switched off.

2.Recording an expense

Under Expenses, click Add and fill in a Category (Rent, Salaries, Supplies, Equipment, Utilities, or Other), an optional description, the Amount, and the Date. Every expense can be edited or removed later with the pencil and trash icons.

3.Reading Cost Analysis

Set a From/To date range and click Apply to see Total Revenue, Total Expenses, and Net for that period, plus a revenue-vs-expenses chart and an expense-by-category breakdown.

Money & books

The ledger

This is real double-entry bookkeeping underneath the numbers you see in Cost Analysis — every invoice, payment, and expense posts here automatically. Most people won't need to touch it directly; it's here for whoever manages the clinic's actual books.

1.The chart of accounts

A starter set of accounts (Cash, Bank, Accounts Receivable, Revenue, expense categories, and — if GST is on — tax accounts) is created automatically for every new organization. To add your own, click Add and give it a Code, Name, and Type (Asset, Liability, Equity, Income, or Expense). Built-in accounts can be renamed but not switched off, since automatic postings depend on them existing.

2.Posting a manual entry

For anything that doesn't happen automatically — an opening balance, a correction — click Manual Entry. Give it a date and description, then add at least two lines, each picking an account and a debit or credit amount. The two sides have to add up to the same total before you can post it.

Financial reports and GST

Four tabs, each with its own date range:

  • Trial Balance — every account's balance as of a chosen date.
  • Income Statement — income and expenses over a date range, with the net at the bottom.
  • Balance Sheet — assets, liabilities, and equity as of a chosen date.
  • GST — turn GST on for your organization and enter your 15-character GSTIN; once it's on, a summary tab shows taxable value, CGST, and SGST for any date range.

Every tab loads with a sensible default range already applied — this month, or today, depending on the report.

Giving staff extra permissions

By default, doctors can do everything below, and admins can do everything except record invoices and payments directly. If someone else on your team — a receptionist, say — should be able to manage expenses or view reports, grant it here rather than changing their role.

  1. Open Accounting Permissions and pick a staff member from the dropdown.

  2. Each permission shows as Granted via role (already implicit — the switch is locked), Granted, or Not granted. Flip the switch next to any permission to change it.

Emails RogiData sends you

A short reference for what to expect in your inbox, and why.

"Verify your email — RogiData"
Right after you sign up. Contains your 6-digit code, valid 24 hours.
"Password Reset Request"
After you use "Forgot Password?". The link is valid for 1 hour.
"Your RogiData account is ready"
When an admin or doctor creates a staff account for you. Never contains your password.
"New report pending your review"
To a patient's assigned doctor, whenever reception uploads a lab report, X-ray, or blood report for them.
"Security alert" — repeated failed sign-ins
To your organization's admins (or doctors, if it has no admin) after 5 failed sign-in attempts on one account within 15 minutes.
"Security alert" — new device or location
Same recipients, when an account signs in successfully somewhere it hasn't before.
"New connection request"
To an organization's admins, when another clinic/hospital/lab requests to connect on the Network page.

Coming soon

RogiData is actively being built out. A few things you might go looking for aren't quite ready yet — noted here so you're not left guessing:

  • Creating invoices and recording payments in the app. The price list, expenses, ledger, reports, and GST are all ready and working — the last piece, actually billing a patient through the web interface, is still in progress.
  • Assigning a specific doctor to a patient from the interface, for patients registered at the front desk.
  • A dedicated profile-editing page for doctors (clinic address, consultation fee, and similar details).
  • Self-service password changes from inside the app — for now, ask an admin or doctor to reset it for you (see Getting started), which works immediately.
  • The Lab Technician role isn't fully wired up yet — best to hold off using it for now.

Getting help

Didn't get a verification code or reset link?

Check your spam folder first. On the sign-in page, trying to sign in with an unverified account will offer to resend the code.

"Please verify your email before signing in"

Your account exists but hasn't been confirmed yet — follow the verification steps in Getting started.

A page says you don't have permission

That's usually correct, not a bug — ask your organization's admin or doctor to grant you access. For billing screens, see Staff permissions.

Something else looks wrong

Speak to whoever manages RogiData for your organization — they can see more detail than this guide covers.
